On-going Property Management

Full Photographic In-going Inventory: Before the tenant moves in, we compile a meticulous, room-by-room inventory report. This includes high-resolution photography and detailed descriptions of the property’s condition, protecting you against future damage disputes.

Regular Property Visits and Reports: We conduct routine inspections (typically quarterly or half-yearly) to ensure your property is being well looked after and to catch any preventative maintenance issues early. You will receive a full digital report with photos after every visit.

Full Repair Management: No more late-night emergency phone calls. We act as the sole point of contact for tenants. We vet and manage qualified, insured contractors to handle routine maintenance and emergency repairs quickly and cost-effectively, always keeping you informed.

What's included?

Utility, Safety & Compliance Oversight

Utility Management (Gas, Electric, Water & Council Tax): We take the hassle out of moving days. Our team contacts the relevant utility companies and local authorities to update meter readings and transfer the accounts into the new tenant’s names at move-in and move-out.

Safety Certificate Management (Gas, Electric, EPCs): Keeping your property legal is our priority. We monitor and manage the expiration dates of your essential safety certificates, coordinating with engineers to renew your annual Gas Safety (CP12), 5-yearly EICR (Electrical Installation Condition Report), and Energy Performance Certificates (EPC). 30 Days before your legal certificates are due, our team will contact you to provide costs for the new certificates.

Serving Section 13 (Rent Increase Notices): We regularly review the market to ensure your investment keeps pace with inflation. When a rent review is due, we legally prepare and serve Section 13 notices to implement fair rent increases in line with current legislation.

Eviction and Possessions Policy (Section 8 Notices): Should a tenant breach their agreement (such as falling into rent arrears), strict legal pathways must be followed. Please note that Fearn Malone will only prepare and serve Section 8 notices for landlords who have active Rent & Legal Protection policies in place through our company. If you choose not to opt into our protection plan, we cannot directly initiate eviction proceedings on your behalf; however, we will gladly provide a trusted specialist legal contact to help you start the process independently.

End of Tenancy & Deposit Resolution

Photographic Checkout Report: When a tenant vacates, we conduct a stringent final inspection against the original inventory. We document the property’s condition with clear photographic evidence to identify any issues beyond fair wear and tear.

Deposit Resolution Between Landlords & Tenants: If damage or cleanliness issues arise at checkout, we negotiate fair deductions with the tenant on your behalf. In the rare event of a dispute, we compile and submit all necessary evidence to MyDeposits to secure a resolution for you
